Please read the following information which concerns the protection of your personal data. If you do not want your personal data to be used in the ways set out here please do not use the site or submit personal data to us through it.
What information do we collect?
Contact information - including Name, telephone number, email address, postal address. We will never ask for any banking information, credit card or date of birth.
Project information – details of your property and budget.
Design constraints – personal information relevant to the design process.
Why do we need it?
Contact information - required to complete applications for the Local Authority for Planning and for building control permissions. Some of this information ( Name and address) is in the public domain via the local authority website and planning portal. Please note that other personal information including your phone number is hidden on these applications and hence not in the public domain.
Project information – We need full details of your property e.g. the legal constraints and other pertinent constraints. We will ask for your budget so we can design a suitable scheme. Please note that the design will be within approximate budget parameters based on approximate £/m2 rate and these rates are subject to prevailing commercial conditions at the time.
Design constraints – We sometimes need more private/sensitive information to ensure our design will be safe, accessible and appropriate to your specific needs. This information is confidential to the project and will be only shared if required/applicable and in line with our policy as detailed below.
Who do we share it with?
Local Authority or Building regulations private company – We only share information required to complete, process and validate your application. Planning permissions are publicly accessible via the Local Authority Planning/Building regulations website, the local authority may also inform any person who will be affected by your project (neighbours, public) visit your local authority website for full details of their privacy policy.
Design professionals – Those whose advice and support we may need during the design process. Generally, drawings only – these will have a name eg Mr Smith and site address. These can include but are not limited to Structural Engineer, Quantity Surveyor, Product manufacturer, specialist surveyors/inspectors. These will only usually receive contact information such as full name, email or phone number if there is a specific requirement and only with client permission.
Contractors – We need to share information as part of the tender process as contractors will usually visit the site before bidding for work to ensure they are aware of any constraints/issues which may affect cost. They may also speak to you beforehand to see what your requirements and expectations are. Hence your phone number and email may need to be shared to facilitate the above site visits and we will obtain your permission before we share these details with the aforementioned contractors.
Third parties – We shall not release the personal data we collect, in whole or in part, to any third parties unless:
we are obliged to do so by law; or
we have your consent; or
it is necessary to do so to provide the products and services chosen by you; or
we or substantially all of our assets are acquired by a third party, in which case personal data held by us about our customers will be one of the transferred assets.
How long do we keep it for?
Drawings, tender documentation, administration, and design files remain as our copyright and their use is licensed to a single project/application unless otherwise agreed. These files are retained for an indefinite period as part of our portfolio of work.
Invoices, appointment letters and receipts are retained for up to 12 years dependant on contractual obligations.
Projects are kept on secured password protected computers for the full duration of a project design, construction and until after the defects liability period has expired (after practical completion) even if our involvement has ended just in case further information is required. After this all files are archived to a secure online data storage site.
We may contact you after/during construction to visit your completed/in progress project to take photographs and obtain feedback on our service and the contractor used so we can ensure we and our preferred contractors are delivering a quality/tailored service. After this all personal information is archived and not used again. Note - Projects on our website will never contain any specific information only general location is shared with project photographs and drawings.
